The new Promotional Office website is live.

The Promotional Office website, promotionaloffice.co.uk, relaunched on Tuesday 22 September 2026.

It has been rebuilt from the ground up, with a new home page that does something the old one never could: it lets a distributor test Promotional Office against their own business before they book a demonstration.

Promotional Office is the ERP, CRM and quoting system built specifically for the UK promotional merchandise trade, and it is used by 600+ users across 100+ companies. The old site described what the system does. The new one shows it, with interactive tools, walkthroughs of the real screens, and the documentation a corporate buyer will ask for.

A home page you can use, not just read

The new home page is built around six interactive sections. Each one answers a question a distributor tends to ask in the first conversation about changing systems.

01
The connected stack
Six layers, from product data through quoting and orders to your accounts package. Select any layer to see what it does and how it connects to the one point of truth: the product data you control centrally.
02
By hand versus Promotional Office
One toggle, one quote, done both ways. Built by hand the example takes 124 minutes. In Promotional Office it takes 15.
03
Six capabilities, all off the shelf
Business visibility, processes and compliance, connectivity, hosting, future proofing and sustainability, each on its own tab. The functionality this trade needs is already in the programme rather than quoted as a customisation.
04
An honest comparison
Promotional Office set against a generic ERP and against spreadsheets and email. A generic ERP handles accounts and stock perfectly well. It has never heard of a decoration position, a component product or a supplier price break, and the comparison shows where that matters.
05
Work it out yourself
A time recovery calculator driven by three sliders. You enter figures you already know about your own business, and it shows the hours they add up to across a year. There are no modelled savings in it. It simply multiplies your numbers.
06
The documentation library
All seventeen published documents behind the platform, filterable by compliance, user guides, info sheets, the agreement and training. Select any document to see what it covers.

The connection no other system has

Only Promotional Office connects directly to the Sourcing City platform. A distributor chooses the products they want from more than 95,000 live lines, and Promotional Office receives them automatically, ready to quote. There is no rekeying of product details, which is where most errors in the sales process are actually created.

The distributor stays in control throughout. Only the products they choose are sent across, so the system holds their range rather than somebody else’s catalogue.

Evidence for the procurement question

Winning a corporate account increasingly means passing an IT and procurement review before anyone looks at the creative. The first request is usually for security and continuity documentation, and writing it from scratch takes time a busy sales team rarely has.

Promotional Office customers do not. The Information Systems Security Policy, the Disaster Recovery Plan, the IT Event Management Process and the SaaS Agreement with its hosting and licensing appendices are all already written, versioned, dated and owned. The new site puts that library in plain view, because it is often the deciding factor in a tender.

See the real screens

The Features page now does one job. Under the heading Full Control, Less Clicks, it carries interactive walkthroughs of six working screens: Dashboard, Quotations, Order Management, Invoicing, Reporting and Calendar View. Anyone who has just read what the system does is one click from seeing it. Explore the screens.

A simpler site

Home, About Us, Features and Contact Us have been rebuilt on one shared design, with a single navigation bar across every page. The old Testimonials and FAQs pages have been retired, along with six older feature sub pages, so everything a prospect needs now sits on four.
